Software for the coordination of business activities (CAE)

Coordinating business activities, made simpler, safer and more efficient.

Control the health and safety documentation of the contractors and external companies working at your facilities, the works and services they carry out and their workers' entry, as required by Royal Decree 171/2004.

What is ACAE? Coordination of business activities

A web platform that makes the coordination of business activities easier: it speeds up processes, ensures safety and simplifies document management with subcontractors.

A university or a large public body has maintenance, cleaning, construction and service companies working in its buildings every day. As the owner of the workplace, your organisation has to coordinate occupational health and safety with all of them and be able to prove it. ACAE brings together in a single application each company's documentation, the work it carries out and who actually enters your facilities.

  • Health and safety documentation by company, worker, equipment and vehicle
  • Each construction or service job with its assigned companies and workers
  • In production at a public university with numerous contractors

How does it work? In five steps

  1. Company registration

Each organisation registers on the platform and sets up its users.

  2. Document upload

Workers, vehicles, machinery and companies upload their certificates and mandatory data.

  3. Fast, automatic validation

The system checks expiry dates and legal requirements and reports any issues in real time.

  4. Access control

Using RFID cards or lists, only those who meet the regulations are allowed in.

  5. Monitoring and reporting

Managers and supervisors have dashboards and statistics, with an AI-generated summary on request, to oversee the whole process.

RFID clocking for external workers, with our own terminals

We design the clocking terminals, including their electronics and firmware, to work fully integrated with ACAE. Each terminal has an entry reader and an exit reader and knows which workers can clock in at its site according to the jobs assigned.

  • They work offline: they validate the card and store the clocking
  • They synchronise with the server over HTTPS when the connection is restored
  • Remote restart if a terminal stops communicating
  • Log of incidents and of each terminal's version

  4. Training and support

Training for managers and support from the team that develops ACAE.

Security and compliance

Company and worker data under control

ACAE stores documentation from external companies and personal data of their workers. That is why access is protected with two-factor authentication and every action is logged with who performed it.

ATISoluciones is certified under the Spanish National Security Framework (ENS), MEDIUM category, for the systems supporting the development and maintenance of software applications, and to ISO/IEC 27001: the product is designed, coded and maintained within an audited management system.

Frequently asked questions Common questions about CAE management

What is the coordination of business activities (CAE)?

It is the obligation to cooperate and coordinate on occupational health and safety when workers from several companies are present at the same workplace. It is established by Article 24 of Spanish Law 31/1995 on the Prevention of Occupational Risks and implemented by Royal Decree 171/2004.

What does the owner of the workplace have to check?

Among other things, that the companies working on site receive information on the site's risks and emergency measures, and that they can prove they meet their health and safety obligations towards their workers. ACAE organises this documentation by company, worker, equipment and vehicle, and links it to each job.

How is the entry of external workers controlled?

With RFID terminals of our own design installed at the entrances. Each terminal knows which cards can clock in at its site according to the jobs assigned, records entries and exits, and produces reports on hours worked, incomplete clockings and clockings with issues.

What happens if the connection to the terminals goes down?

The terminals keep working offline: they validate cards against the list they have stored and save the clockings. When the connection is restored, they synchronise with the server over HTTPS. If a terminal stops communicating, it can be restarted remotely.

Can it be adapted to our internal procedures?

Yes. ACAE is our own software and we adapt it to each client's protocols; for example, the out-of-hours activities module is tailored to the organisation's authorisation procedure.
